Information Given In a Commercial Invoice

Commercial Invoice is the bill or the document used in trading and exporting of items to the international marketplace. The Commercial Invoice consists of information regarding the deal and the final sale between the buyer and the seller. The Commercial Invoice is made as per the contract mentioned in the Performa Invoice. If in the Performa Invoice, the buyer and the seller commit to the preparation of Commercial Invoice, then it has to be prepared. With the change in the sale terms, change has to be incorporated in the Commercial Invoice. The details to be included in Commercial Invoice are:

  • Customer purchase order number
  • Performa invoice reference number
  • Method of Payment: The currency in which payment has been made needs to be mentioned, and the shipping terms for the price quotations
  • Bill of loading number
  • Container number, if shipped by container
  • Ports of exit and entry
  • Country of origin notation: Here the country of origin certificate and the harmonized tariff codes are to be incorporated

Along with this information, the Commercial Invoice must conform to the Letter of Credit issued by the buyers. The Commercial Invoice has to be made keeping in mind the following considerations:

  • Specific language requirements: Sometimes the importer wants the Invoice to be translated in the importer’s language
  • Declaration from the exporter: The exporter sometimes needs to ensure that the goods exported are manufactured in the exporting company, and the goods conform to the amount mentioned in the Invoice.
  • Certification of commercial invoice: In some countries, the importers demand the Invoice to be certified by the Chamber of Commerce of the exporting company. This is to assure that the information and declaration mentioned in the Commercial Invoice is correct.
  • The amount mentioned in the Commercial Invoice should not exceed the one mentioned in the Letter of Credit.
  • The amount written in the Commercial Invoice must not vary beyond 5 percent of the quantity mentioned in the Letter of Credit.
  • Commercial Invoice should have the description of goods in accordance with the one mentioned in the Letter of Credit.
  • Some countries require signature on the Commercial Invoice, along with the name and the title of the exporter company.

In order to ensure smooth trade relationships, the exporters need to include all the above mentioned details, and some of the details, if asked by the buyers. If the Commercial Invoice is made with perfection, then the clearance of exported items becomes a hassle-free activity.

Compliance Of Import-Export Law, Complex But Necessary

It is well known fact that all merchandise coming into India has to clear customs and is subject to a customs duty, unless specifically exempted by law. Therefore, it is highly important for a Trader to understand this process, along with its functional sensitivity and complexity.

What does ‘Clearance’ involve? Well, plenty of things, from steps-entry, classification, inspection to appraisement and liquidation. Above all, the final formality gets fixed only after proper verification and counterchecks by the customs department. But besides all this, it becomes the duty of the trader to import or export dutiable value of merchandise for its smooth clearance.

There are certain companies which take the help of CHAs on external arrangement basis. But it is quite alarming to know that these companies will disappear as they do not hold any legal identity. Further, it is even shocking to find that they cannot make any representation of your company in case you get tangled in any allied legal dispute. In such a situation, your business will not only go topsy-turvy roller-coasting on the heaps of stress, but will also get stuck in the same hinging complexity for a longer time span. The CHA is an unavoidable conduit between the shipper, the consignee, customs and other government agencies. And there is no doubt that it is an essential job of CHAs to assure that the import export is in compliance with all laws and regulations.

Therefore, if you want your goods to get clearance from customs, it’s time you stop relying on ‘good for nothing’ agencies. Pull your socks and get ready to deal with the situation by knowing on your own about the documents which are necessary for the clearance or getting in touch with reputed service providers who can provide professional assistance so as to avoid delays and save money as well.

Direct Exporting: Advantages and Disadvantages

For those budding entrepreneurs in world of export, the term “Direct exporting” may seem quite obvious. But one may still wonder whether it is a good option. Well, here is a detailed description that offers you the pros and cons of direct exporting to help you make up your mind.

Direct exporting, as the name describes, is when you directly export products to a client. Hence, you are solely in charge of the various processes such as market research, distribution, and dispatch and payment collection.

Benefits

  • Customer relations : You get to know your clients and so are able to offer better services. The clients feel more confident and secure since they are directly dealing with you. Feedbacks and suggestions from them will be available instantly.
  • Profits : No intermediaries imply greater profits for you.
  • Control : You have total control over the negotiations and transactions. The patents, copyrights and trademarks are protected in a more effective way. Since the dealings are done personally, you also get a better sense of the market.
  •  Future Plans : You are open to several options for improvement and expansion. The future offers plenty of opportunities that are available for you to decide.

Drawbacks

  • Lack of Manpower : Building a client base requires people. Since you are exclusively in charge, every aspect of the business will demand your attention.
  • Lack of Resources : A business requires considerable amount of money, time and effort. You should give serious thought to whether you will be able to provide these adequately. It would be wise to have a detailed plan regarding aspects such as shipping, and delivery etc.
  • Reduced Customer Care : You may not be able to communicate back to clients as quickly as an agent. The business would also require online support if you are dealing in technical products. In that case, clients may also have technical questions that you must be prepared to answer.

After going through the various points, the balance of decision must have weighed down on one side. It is always advisable to do a detailed research of the present market trends and an analysis of one’s own capabilities before coming to a decision. After all preparation is the key to success.

Use Of Documents In Import And Export

Every business transaction these days requires its goods and services to cross national shores, as there has been a rapid development in international trade in recent times and the world has shrunk into a global village. A routine activity for many businesses, Import and export is very essential for consumers. If you are a first-timer in Import/Export Trading, the checklist below would assist you.
When it comes to import and export transactions, the importance of paperwork done correctly is paramount. A vital aspect of international trade is documentation and plenty of it needs to be dealt with.

Although, in order to complete an import and export transaction, the required documents vary from country to country but generally, they comprise the following:

1. Purchase order: Basically, a business requirement, but may also be needed by the buyer or seller for arrangement of finances.
2. Letter of credit: A Letter of credit is necessary to make payments for goods that are being imported.
3. Shipment documents: As a proof of dispatch, a bill of lading is required in case of sea shipments. In case the goods are being transported by plane, an airway bill is needed.
4. Certificates of origin: The volume of business that can be done with other countries is restricted by some countries. Goods from specific supply sources may be accorded tariff benefits. For this, a Certificate of Origin needs to be submitted by the exporter, which the Chamber of Commerce or a designated regulatory authority endorses.
5.Quality or inspection certificates: If prior to the shipment, an inspection is specified by the buyer, he would surely want to see its proof on paper.
6.Packing list: One needs to have some clue regarding the contents of different cartons that have arrived as shipments.
7. Invoice: This should be made absolutely certain that all transaction details have been noted down correctly, including the currency used for transaction.

This list is not at all extensive even though it might seem to be a long one. So, it becomes mandatory hiring someone, who has an understanding of import and export documentation so that your international business proceeds without any glitches.

Importance Of Import/Export In A Home Business

Import/Export is an important aspect of international trade. This is the way by which the influx and outflow of products take place. Also, innumerable small products seen every day in stores, come from a number of countries all over the world in order to meet the specific demand for that product. Though this business takes place on a larger scale but with the trading becoming easier, many home based entrepreneurs are venturing in it.

One of the fastest growing areas of home business, Import/Export needs relatively little capital for starting the business and has a very low operating cost for keeping the business running.

So, how do these high growth areas function? This blog is a quick glance at how this work from home setup can be converted into a great business opportunity.

  • Finding Niche Markets : A Blackberry which was targeted at businessmen or the Nokia N-series or C-series targeted at youth, are examples of niche markets. The objective of Import/Export is to create a niche and fill that void. This is done by buying the product, reselling it to distributors who market the product to consumers.

  • By Local Marketing : It is based on the idea that you find out what is missing from your neighborhood and region and fill that need with an imported product. If you are aware of the need of a particular area, you can easily search for the product and sell it to local distributors who through the assistance of retail stores make it available to the consumers.

  • Finding Needs of Other Areas : Buying from other areas to fill the gap in your area is just one facet of trading. When you locate markets in other areas for the products unique to your area, the cycle is completed as the export side is taken care of.

Requiring a little more than a coordinated effort to ensure that the products get into your country and then are distributed accordingly, an Import / Export business is a fabulous work at home opportunity. Building a good working relationship with distributors is essential so that you have a place to sell your product and this can be taken further by constantly looking out for newer markets or strengthening base in a particular area.
